Most DFW businesses underestimate what reactive IT actually costs. Break-fix looks cheaper until you factor in downtime, emergency labor rates, and the compounding cost of deferred maintenance. Here's an honest side-by-side for a 10-person commercial business.
| Category | Break-Fix IT | Managed IT (Fortress) |
|---|---|---|
| Monthly cost (10 users) | $0 — until something breaks | $990–$1,990/month |
| Typical annual IT spend (10 users) | $8,000–$25,000 reactive | $11,880–$23,880 predictable |
| Average downtime per incident | 4–8 hours (wait for tech) | < 30 min (proactive monitoring) |
| Helpdesk support | Hourly ($125–$200/hr) | Unlimited, included |
| Patch management | Manual, often skipped | Automated, scheduled |
| Cybersecurity tools | Usually none or consumer-grade | Enterprise tools included |
| Predictability | None — bills spike with incidents | Fixed monthly rate |
| After-hours support | Emergency rates (1.5–2×) | Included (Standard+) |
| Vendor coordination | Your problem | Handled by Fortress |
We'd rather tell you upfront what's not in the plan than have you discover it on an invoice. None of the items below are hidden — they're just scoped separately because they're project work, not managed services.
Computers, servers, network switches, APs, and phones are quoted separately. We help spec and procure at competitive pricing — no hidden markup on hardware.
Microsoft 365, Adobe, industry-specific software, and antivirus licenses are billed at cost. We handle purchasing and management.
New cable runs, Cat6A installations, and IDF/MDF buildouts are scoped and quoted as standalone projects. Standard plan clients receive discounted labor rates.
Camera installs, NVR configuration, and door access control systems are priced by project scope. We provide detailed quotes.
Essentials plan helpdesk is business hours only. After-hours emergency response is available at $175/hr. Upgrade to Standard for included extended hours.
These are quoted as standalone projects. Standard and Premium plan clients receive discounted labor rates on all project work.
A user is anyone with a managed device under the plan — laptop, desktop, or shared workstation. Mobile phones are not counted unless enrolled in mobile device management (MDM), which is an optional add-on.
Our minimum engagement is 5 users. Below that, the economics don't support the infrastructure investment we make in your account.
Billing runs on the 1st of each month via ACH or credit card. New clients are billed pro-rated for the first partial month, then on the standard monthly cycle.
We true-up headcount quarterly. If you add 3 users in February, you'll see that adjustment reflected in the Q1 true-up invoice — not immediately.
For Standard and Premium plans with 10+ users, there is a one-time onboarding fee ranging from $500–$1,500 depending on existing infrastructure complexity. Essentials and small deployments are typically onboarded at no setup fee. Always disclosed upfront in your proposal.
30-day written notice to cancel. No early termination fees. If we've installed any Fortress-owned equipment (rare), we'll arrange pickup or buyout at depreciated cost.
Every business is different. Tell us your headcount, industry, and current setup and we'll give you a precise quote — not a range.
